2. The most important points
- We do not store the letters you have explained.
- We use no tracking cookies, no advertising and no analytics tools from other companies.
- Our servers are in the EU. The AI that reads your letter also works in the EU.
3. When you visit our website
Our website runs on Microsoft Azure in a data centre in Sweden. When you open a page, the server processes technically necessary data: your IP address, the address you opened, the time and details about your browser. This is the only way it can send you the page. We keep no access logs with this data.
The legal basis is our legitimate interest in running the website securely and reliably (Art. 6 (1) (f) GDPR).
Our application writes operating messages, for example about errors. They contain no IP addresses and nothing from your letters. We delete them after 30 days.
4. Counting page views
We count how often a page is opened each day, by language and by the website you came from. We store neither your IP address nor an identifier of your browser, and we set no cookies. Nobody can identify you from these numbers.
5. Deadline calculator and dictionary
You need no account for them. What you enter in the deadline calculator (type of letter, date, state, delivery) is only in the address of the result page. We do not store it.
6. Explain a letter
What we process: the photos or PDF files of your letter and the language you want the explanation in. A letter can contain your name, your address, file numbers, amounts and other information about you.
What for: to read the letter, explain it in your language and calculate the deadline.
When you use our website, your browser makes photos smaller before sending and removes extra camera data, for example the place where the photo was taken.
Who reads the letter: our server sends the pages to Microsoft Azure OpenAI, to the AI models GPT-6 Luna and GPT-6 Sol. Processing takes place in the EU. According to Microsoft, it can also take place in member states of the European Free Trade Association, for example Norway or Switzerland. Microsoft does not use your data to train AI models and does not pass it to OpenAI.
Storage: we do not store your letter, not on a disk, in a database or in a file. It is in memory only during the request and is discarded afterwards. Only you see the result, in your open browser window. When you close it, the result is gone.
Abuse monitoring at Microsoft: Microsoft automatically checks inputs and answers for abuse. If this check is triggered, Microsoft can store the content and have authorised employees in the European Economic Area review it. Microsoft names no fixed storage period for this.
Health data: some letters contain information about your health, for example letters from a health or care insurance fund. We process such information only with your explicit consent (Art. 9 (2) (a) GDPR). You give it by ticking the box before each upload. You can withdraw your consent at any time for the future, by not uploading letters any more or by writing to us. As we do not store your letter, a withdrawal only affects future letters.
Legal basis for the rest of the processing: you ask us to explain your letter (Art. 6 (1) (b) GDPR).
Protection against abuse: so that nobody overloads the free service, we count requests per internet connection. We do not store your IP address for this, but a key calculated from it. The secret for this calculation changes every day at midnight; then we delete all counters. Legal basis: Art. 6 (1) (f) GDPR.
No automated decision: an AI writes the explanation. It can make mistakes and is not legal advice. Nothing is decided about you (Art. 22 GDPR).
7. When you write to us
When you write to us at kontakt@amtomatic.com, we process your message and the information in it to answer you. The legal basis is Art. 6 (1) (b) GDPR when it concerns our service, otherwise our legitimate interest in answering enquiries (Art. 6 (1) (f) GDPR).
Our mail server at Hetzner Online in Germany receives emails to this address. It forwards them through the sending service Mailjet (France) to a mailbox at Google (Gmail), where we read them. Google LLC (USA) takes part in the EU-US Data Privacy Framework. We keep emails as long as we need them to answer and for follow-up questions.
8. Recipients and transfers
Our service provider for hosting, database and AI is Microsoft. Microsoft processes the data on our behalf (Art. 28 GDPR), on servers in the EU, and the AI as described above. The parent company Microsoft Corporation (USA) takes part in the EU-US Data Privacy Framework.
Our company is based in the USA. We do not transfer your letters to the USA.
9. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). You can withdraw consent at any time (Art. 7 (3)). Write to us at kontakt@amtomatic.com.
As we do not store your letters, we usually hold no data about you that we could hand over or delete.
You can complain to a data protection supervisory authority (Art. 77 GDPR), for example in the German state where you live.
10. Changes
When our service changes, we update this notice. The version with the date above applies.
